Reports to: Operations Manager (HR Regional
Manager)
Job Summary: The Human Resources Associate will
be responsible for assisting the HR Manager with the recruitment, hiring and
retention of the Organization’s Uganda office employees. The Human Resources
Associate will also assist the Manager with the office’s management of the
salaries and benefits, and coordinating of field HR Function with the GFUS
Office. 
Key Duties and Responsibilities:
  • Handles sensitive and confidential human
    resource matters in a timely fashion. 
  • Coordinates and conducts HR programs and products
    such as:  new hire packets, employee orientation, assist with the
    administration of insurances (medical, dental, provident fund, travel
    insurance, vision, life, and long and short term disability).  
  • Assists in resolving insurance issues;
     benefits policies & procedures;
  • Provides assistance and communication to
    staff in regarding benefits programs, policies and procedures;
  • Maintains accurate and up to date
    personnel records, prepares and processes personnel paperwork and files.
  • Ensures all new hires have executed all
    appropriate documents prior to hire (or within allotted timeframes).
  • May assist manager with mediation to help
    resolve personnel conflicts and recommendations;
  • Ensure payroll accuracy aligning with
    employment agreements; 
  • Ensure and follow up training and
    development of all employees.
  • Coordinates training programs for
    employees as needed
  • Assist manager and Country Director with
    the preparation of budget forecasts for human resource
  • Work with management to lead and ensure
    the integrated people management processes is leveraged to grow talent and
    drive performance 
  • Develops insights from people data
    (engagement survey, exit interview, etc.)
  • To inform talent acquisition, development
    , and retention strategies 
  • Assist manager with employee relations
    support and guidance on matters relating to performance, unemployment
    compensation, harassment claims, code of conduct violations, 
  • Proactively engage with management to
    establish relationships and to build initiatives that meet HR goals as
    well as GF UG business objectives.
  • Completes offer letter or employment
    agreement templates for manager’s review
  • Handle Independent Contractor Requests
    liaising with GFUSA Legal and the hiring manager 
  • Manage filing systems, ensuring they are
    up to date;
  • Ensure protection and security of files
    and records  
  • Assist manager with implementing policies
    and procedures and ensure that all policies are communicated, understood
    and enforced;
  • Assist with the performance evaluation
    program;
  • Ensure appropriate staff utilization
  • Abide by and perform to the best of his
    abilities all functions, duties and responsibilities to be assigned by the
    ORGANISATION in due course;
  • Comply with the orders and instructions
    given from time to time by the ORGANISATION through its authorized
    representatives;
  • Shall not disclose any confidential
    information in respect of the affairs of the ORGANISATION to any
    unauthorized person;
  • Perform any other administrative or
    non-administrative duties as assigned by any representative of the
    ORGANISATION from time to time either through direct written order or by
    oral assignment.
  • Perform any other duties as assigned.
     
Qualifications,
Skills and Experience:
  • The ideal candidate should possess a
    Bachelor’s degree in Human Resources, Management  with postgraduate
    qualification in Human Resources Management
  • At least 2 years experience as HR
    Administrator/ HR Assistant.
  • Working knowledge of Microsoft office
    products (MS Excel, MS PowerPoint, MS Word, etc.)
  • Good understanding of challenges facing
    the poor in Uganda
  • Show a deep commitment to eradication of
    poverty and alignment with Grameen Foundation’s mission 
  • Experience in a busy multi-cultural NGO
    environment.
  • Knowledge of Uganda Labor Law
  • Excellent writing and communication
    skills; ability to gather, synthesize and present information in a
    professional, compelling and practical manner with senior management,
    staff and external partners
  • Ability to work well with others and
    collaboratively across the organization 
  • Ability to work and thrive in a
    fast-paced, energetic, highly creative and entrepreneurial environment
  • Highly motivated, self-directed and strong
    attention to detail
  • Excellent organizational, project
    management and time management skills
