About USAID Project:
The
USAID/Uganda Monitoring, Evaluation and Learning project (Learning Contract) is
the five-year organizational program support vehicle through which USAID/Uganda
will pursue realizing its development objectives within the complicated and
shifting Ugandan development context.  The purpose of the Learning
Contract is to provide monitoring, evaluation and learning support services and
build capacity of USAID/Uganda to implement USAID’s Collaborating, Learning,
and Adapting methodology to strengthen the implementation of USAID/Uganda’s
Country Development Cooperation Strategy and enhance USAID’s organizational
effectiveness. 
Job Summary: The Administrative
Assistant will serve as a vital support to the operations team. He/she will
work to ensure the office runs smoothly by managing office supply requests,
conference room scheduling, logistics for domestic travel/workshops, making
copies, requesting quotes and other tasks as necessary.
Key Duties and
Responsibilities:
  • Maintain office inventory, tracking purchase
    date and amount, condition, location of all non-expendable assets
  • Maintain inventory for expendable office
    supplies, taking requests monthly from staff and ensuring stock is
    monitored
  • Making domestic travel arrangements for all
    staff (lodging reservations, flight reservations etc.)
  • Copying and scanning office documents as
    needed including finance documents, workshop/meeting agendas, etc.
  • Request, review and analyze quotes,
    compiling documentation and sending it for approval
  • Supervising the cleaning staff, ensuring the
    office is well cleaned and tidy
  • Collecting staff time sheets, checking for
    accuracy and submitting to finance for processing 
Qualifications, Skills and
Experience:
NOTE:  All applicants must address each
selection criterion detailed below with specific and comprehensive information
supporting each item.
  • The applicant
    should hold a college degree in finance, accounting, economics, political
    science, or social sciences with some focus on accounting.
  • At least three
    years of progressively responsible experience in the public sector or the
    NGO community and at least two years focusing on financial accounting.
  • Language
    Requirement:  Must be fluent in the English language.  
  • Knowledge and
    familiarity with Ugandan society economy and government structure,
    particularly financial systems. 
  • Must be familiar
    with the principles of management in a broad range of administrative
    activities (financial, organizational, procurement, records) as well as
    basic principles of working with local government institutions.
  • Excellent
    interpersonal and computer skills are required
