About Us:
Our client, a leading
Health Supply Chain Management Organisation that specialises in Logistics and
Supply Chain Management Services for pharmaceutical products and health
commodities is seeking to recruit for the following positions to support their
projects.
Job Summary: The Administrative Executive will coordinate all
reception activities including managing the switchboard and to provide office
administrative support.
Key Duties and Responsibilities:
  • Manages correspondence and information for the organization and
    ensures timely and accurate distribution to the concerned parties.
  • Maintains the reception area in a clean and professional manner
    including receiving and directing visitors.
  • Receive in-coming and makes out-going calls and directs them to the
    appropriate persons in a courteous manner.
  • Maintains a log in register for staff and visitors.
  • Coordinates and manages executive’s schedules including maintaining
    the office calendar and making travel arrangements.
  • Receive visitors in a courteous manner and direct them to the
    appropriate offices.
  • Open, sort and distribute incoming correspondences and parcels
    including faxes and email.
  • Prepare and follow up on responses to correspondences containing
    routine inquiries. Develop and maintain an efficient filing system for
    office 
  • Perform general clerical duties to include, but not limited to,
    record keeping, photocopying, faxing, mailing, filing and typing
    documents.
  • Assist in organizing meetings, workshops and conferences.
  • Assist in Coordinating repairs of office equipment.
Qualifications, Skills and Experience:
  • The applicant should hold a Degree in Office Management or any other
    business related field.
  • Three to four years experience in managing a front office in a busy
    environment.
  • Working knowledge of records management and general office
    administration.
  • Working knowledge of Microsoft Office.
  • Ability to communicate effectively both oral and written
  • Good customer care skills.
  • Good planning and organizing skills
