Job
Summary:
The Program
Officer will offer technical to staff in implementation of Link Up and CHAU
related projects. But will also initiate, manage, maintain a resource centre
for Link Up and CHAU including the common fi le and website.
 
Key
Duties and Responsibilities:
  • Provide
    primary administrative support and program support to ED and technical staff
    and ensure timely support.
  • Assist
    in preparation for all office meetings, document meetings and support in
    departmental meeting minutes
  • With
    guidance from technical staff support training/workshop preparations,
    seminars and or related activities by making sure materials, equipment and
    stationery are packed and delivered to venues.
  • Maintain
    appropriate programme files, ensuring that filing system is developed for
    various projects and activities. Developing filing indexes for all
    projects in close collaboration with technical staff and keep up-to-date
    files
  • With
    guidance from technical staff support the compilation of the reports to
    include photocopying, binding, and distribution to various stakeholders.
  • Support
    in the establishment and maintenance of an information resource centre for
    Link Up and other CHAU projects. Regular update of the resource centre
    with new information plus updating the library index and re-organize
    resource centre from time to time disposing of information that is no
    longer required
  • Help
    staff, partners, and visitors access information from the library and
    track all borrowed information from the library, to ensure return at an
    appropriate time.
  • Supervise
    the Resource Centre and maintain a catalogue of available materials and
    their status to facilitate easy access of data/ information and coordinate
    the ordering, receipt, distribution and renewal of subscription of
    journals and books required for all programmes.
  • Review
    records and documents in the resource centre, weed inactive materials and
    dispose of obsolete records. Manage the archives and promote preservation
    of the heritage of the organization
  • Collate
    travel plans on a monthly basis from all staff and arrange support
    accordingly.
  • Manage
    program workshops/events and liaise with staff and finance department and
    ensure all the logistics support for venue, invitations, funds, transport
    and accommodation.
  • Coordinate
    and in consultation with relevant staff schedule meetings to include staff
    meetings and technical review meetings and ensure proper filing of the
    minutes.
  • Provide
    primary administrative support to the Country Program Manager, Finance and
    Operations Manager and program support to technical staff and ensure
    timely support.
  • Coordinate
    and facilitate information flow and follow up with programs and fi nance
    and administration department logistics to include hotel and flight
    bookings, airport pick up and transportation in country for NY colleagues
    and other related staff.
  • Preparing
    purchase requests for country office supplies and commodities and maintain
    continuous supply to facilitate workshops, routine office requirements and
    special events.
  • Liaison
    with partners and districts for follow up reports and outstanding
    accountability as directed by technical and financial staff
  • Support
    program data entry and documentation as and when required.

Qualifications,
Skills and Experience:
  • The
    applicant should possess a Bachelor’s degree in Humanities or Diploma in
    related field.
  • Good
    documentation and achieving is required
  • A
    minimum of five or more years experience in a similar or related position.
  • Documentation
    skills including writing reports, minutes and filing documents
  • Excellent
    communication skills.
  • Good
    command of English language and ability to work in multi-cultural
    settings.
  • Excellent
    interpersonal skills
  • Good
    personality and ability to handle multiple tasks.
  • Demonstrates
    a willingness to learn and widen his/her skills
  • Willing
    to perform any other duties as may be assigned from time to time
