About MRC /UVRI:
The MRC/UVRI Uganda Virus Research Unit on AIDS was established following a request in 1988 from the Uganda Government to the British Government for collaboration on the research of HIV (Human Immunodeficiency Virus) infection and AIDS (Acquired Immunodeficiency). The Unit is a center of excellence in HIV/AIDS related research. It conducts large-scale epidemiological and intervention studies, clinical trials, virological and immunological research and behavioural studies, clinical trials, virological and immunological research and behavioural studies, and has generated a wealth of research results that have been used to inform policy and practice, and that have led to a large number of scientific publications in peer reviewed journals over time.
Job Summary: The Field Station Administrator will be charged with the administrative functions for the respective field stations for efficient and effective support to scientific research.
Key Duties & Responsibilities:
  • Manage transport logistics in liaison with the unit fleet supervisor
  • Oversee management of the stores at the field stations.
  • Supervise drivers admin assistants and office attendants and also manage their performance.
  • Responsible for managing all assets at the station updating register and reporting on their movement.
  • Responsible for coordinating station HR issues in liaison with the Unit Human Resources Manager.
  • Undertake all work following the relevant safety rules and regulations as laid down in the MRC safety manual.
  • Planning and when appropriate conducting new employee orientation.
  • Overseeing, and where appropriate, leading staff training initiatives at the field station
  • Ensuring accurate and timely preparation of monthly field station financial returns.
  • Ensuring data regarding petty cash, vehicle usage, fuel issues and spare parts are accurately complied and reported.
  • Ensuring compliance with MRC standard operating procedures (SOPs) and standing financial instructions.
  • Working closely with leadership of projects at the Field Station to ensure smooth and fair interaction between the projects and Field station administration, and to ensure equitable utilisation of resources between projects.
  • Manage local procurements and follow up on all purchases though Entebbe office in liaison with the Procurement/ stores specialist.
  • Assist the Station In-charge with future resource planning for field station.
  • Ensuring efficient and effective communication between the field station and Head office in Entebbe. 
Qualifications, Skills & Experience:
  • The applicant should possess a Bachelor’s Degree in business administration, Public Administration, development studies.
  • Post graduate qualification in a related course will be an added advantage.
  • At least four years’ experience in a similar position preferably in an international NGO or research organisation.
  • Knowledge and use of Navision ERP.
  • Be a self-starter who takes initiative and maintains a high standard of professional conduct
  • Self-motivated with strong organizational skills and able to multi -task and work well with teams.
  • Strong communication skills and proven ability for effective communication verbally, in writing, and through email.
  • Excellent computer skills with knowledge of MS Word, Excel, Outlook and email are required.
  • Experience and readiness to work and stay in a remote setting (those applying for Kyamulibwa) with minimum supervision.
