Job Summary:  This position is responsible for the professional and efficient managing of visitors, customers, telephone calls and messages, as well as a variety of clerical duties that support customer services, information and referral and the operation and presentation of a professional office.

The receptionist being the first contact with clients of AIG Uganda, the first impression is of utmost importance. Giving the customer professional and superior service is a pre-requisite for good business and positive image for the company. This being a sensitive area, it requires patience and tact in dealing with both internal and external customers.


 
Key Duties and Responsibilities:
1. Customer Service
  • Supervision and full control of all direct & indirect calls, incoming and out going calls with turnaround time of two minutes
  • Promptly, accurately, professionally and courteously receives 100% of all telephone calls and visitors.
  • Promptly, accurately, professionally and courteously assesses 100% of received calls/inquiries and directs and/or records and relays messages.
  • Signs for deliveries when necessary and notifies recipients.
  • Answer all incoming calls and forward or direct them to the proper office or person in the office.
  • Responsibility of keeping reception area free & clean, awareness of staff movements, preparing the impressive  e-mails, drafting letters and generating the clerical data.
  • Knowledge of call transferring, screening & directing calls, good sense of holding customer on the phone and receiving the supply at the front end of the office.
  • Act as an official reliever to the managing director’s personal assistant
  • Retrieve and dispatch all incoming and outgoing faxes
  • Opens and legibly and appropriately stamps, as applicable, delivered mail and sorts into appropriate folders for distribution.
  • Performs routine office tasks necessary for the operation and presentation of a professional office as observed by the supervisor.
  • Assists in other duties as needed and directed.
2.      Audit and Compliance
  • Ensure adherence to audit and compliance requirements
  • Any other duties as assigned by the manager

  • Undergraduate degree
  • 1-3 years experience in a similar role
