Admin Jobs – Executive Assistant at Uganda National Roads Authority (UNRA)

Reports to: Human Resources Officer (Employee Relations).
Job Summary: The post holder will provide secretarial and administrative support toUNRA Headquarters/ UNRA Stations.
Key duties & Responsibilities:
·         Schedule appointments as shall have been deployed and receiving visitors to the office.
·         Prepare and process all correspondences to and from the officer and his office.
·         Ensure that all provisions required for the office are availed on time.
·         Ensure that the office of the Director or any other assigned office is kept clean and tidy.
·         Make arrangements for meetings, writing and typing minutes of meetings as may be required.
·         Liaise with the relevant officials of the Authority in arranging for the assigned officer’s travel and accommodation.
·         Maintain up to date records for the assigned office.
·         Draft simple correspondences for the assigned officer’s signature.
·         Perform any other duties as may be assigned.
Qualifications, Skills & Experience:
·         The holder of the post must have either a degree in secretarial studies from a recognized university with at least three years working experience,
·         OR a diploma in secretarial studies from a recognized institution but with relevant working experience of at least five years in a large organization,
·         OR a certificate in secretarial studies from a recognized institution with not less than ten years’ relevant experience in a large organization.
·         Should have a pleasant personality with a good command of the English language, have personal initiative and be able to work under minimal supervision.
·         Proven competence in the use of computers and knowledge of basic computer applications (MS Word and Excel) are required.
·         Knowledge of shorthand is an added advantage.
·         Training and/or experience in office management will be highly advantageous.
·         Basic knowledge and use of road systems is a significant advantage.
·         Road Sector experience is an added advantage.
