Sawlog Production Grant Scheme (SPGS) is a partnership between the Government of Uganda represented by Ministry of Finance, Planning, and Economic Development, and Ministry of Water and Environment, the European Union, and the Government of Norway. The scheme supports private investors in commercial tree plantations development throughout Uganda. Since 2004, SPGS has been the driving force in the country in promoting the establishment and management of high quality timber, and more recently fuel wood plantations. It is a high profile project that has built a reputation for its professional support to private investors (large and small scale) in tree planting and is now entering an exciting new phase as it promotes both new planting and the development of a sustainable timber industry in Uganda. The position of Project Manager and Administrative Assistant have recently become vacant, and SPGS is thus seeking the services of a dynamic Manager to lead its team of professional and dedicated staff to greater heights of service delivery and an Administrative Assistant to offer administrative services to management of the project facilities and communication with clients

Reports to: Finance and Administration Manager/SPGS
Directly Supervises the Office Assistants.Duration of the AssignmentEighteen (18) months contract will be awarded to the successful candidate, commencing immediately on appointment, preferably by October, 2012. Possibility of extension, subject to satisfactory performance and availability of funds.
Location and Remuneration

The Administrative Assistant will be stationed at SPGS Offices at Plot 92, Luthuli Avenue, Bugolobi. An attractive salary will be offered to the successful candidate

Job Summary: The Administrative Assistant is responsible for providing secretarial, clerical and administrative support to management to ensure that services are provided in an effective and efficient manner. Handling all matters of communication within and outside SPGS, receiving, storing, retrieving, dispatching, and organizing documents and other correspondences as well as attending to phone calls and providing basic information to callers and visitors.

The key tasks and responsibilities will include;

  • Directing clients to the responsible staff member.
  • Liaising with the Finance and Administration unit in ensuring that all services e.g. telephone bills, rentals, electricity etc and utility bills are paid.
  • Attending all Staff meetings and taking minutes.
  • Reviewing, prioritizing, and redirecting regular telephone, fax and electronic mail.
  • Ensuring office security and cleanness.
  • Ensuring that staff attendance and visitors’ books are filled in appropriately.
  • Ensuring that offices are locked and lights switched off at close of business.
  • Arranging internal and stakeholder meetings for the Project Manager.
Qualifications:
  • The candidate must have a degree in Secretarial Studies, Office Administration and Management.
  • Proven track record of successfully working in the private/public partnership environment will be an added advantage.  
Essential Skills and Requirements:
  • Good inter personal relationship with SPGS Clients and staff.
  • Maintenance of confidentiality at all times.
  • Knowledge of office management and supervision, including office practices, procedures and equipment.
  • Good knowledge of Microsoft office programs.
  • Knowledge of computer capabilities, information and data management systems.
  • Ability to plan, install, review, refine and maintain office systems and practices.
  • Ability to assign, supervise, and review work of subordinates.
  • A minimum of 3 years experience in a similar position with a reputable organisation.
  • Willingness to work long hours with minimum supervision
  • Twenty eight (28) years of age and above
